Nordic Aging Society Annual Meeting 2026
7–9 December 2026

By registering for the Nordic Aging Society Annual Meeting 2026, you accept these terms and consent to the processing of your registration information as described below.

1. Organizer

The meeting is organized by the Nordic Aging Society, Sofievej 14A, 2900 Hellerup, Denmark. Contact: contact@nordicaging.org.

2. Registration and membership

Registration is personal and applies to the Nordic Aging Society Annual Meeting 2026. Non-member registration includes one year of membership of the Nordic Aging Society. Member registration is available only to individuals with an active membership at the time of registration.

3. Payment

Payment is processed through PayPal. The registration fee is charged in EUR. Registration is only confirmed after successful payment. PayPal may process payment information according to its own terms and privacy policy.

4. Cancellation and refunds

Refund requests should be sent to contact@nordicaging.org. Refunds may be subject to administrative costs and PayPal transaction fees. The organizer may update the refund policy if required for practical reasons.

5. Program changes

The organizer may make changes to the program, speakers, schedule, venue, or format if necessary. Such changes do not automatically entitle participants to a refund.

6. Personal data we collect

For registration, membership administration, and meeting organization, we may collect and process the following information:

Name
Email address
Institution or company
Country and address information
Membership status
Payment status, amount, currency, and PayPal transaction identifiers
Abstract text, dietary requirements, or other information you voluntarily provide

7. Purpose and legal basis

We process your personal data to administer your registration, process payment, manage membership, communicate practical information, organize the meeting, and document payments. The legal basis is primarily performance of a contract, legitimate interests in organizing the meeting and society administration, and legal obligations related to accounting and record keeping.

8. Data sharing

We do not sell your personal data. Data may be shared with service providers necessary for registration, payment processing, hosting, email communication, accounting, or event administration. Data may also be shared where required by law.

9. Data retention

Registration and payment records are retained as long as necessary for meeting administration, membership administration, accounting, legal documentation, and audit purposes. Abstracts and program-related information may be retained for society records unless deletion is requested and no overriding reason for retention applies.

10. Your rights

Under applicable data protection law, including the GDPR, you may have the right to request access to your personal data, correction, deletion, restriction of processing, data portability, and objection to processing. To exercise these rights, contact contact@nordicaging.org.

11. Photos and recordings

Photos or recordings may be taken during the meeting for documentation, communication, and promotion of the Nordic Aging Society and its activities. Please contact the organizer if you do not wish to appear in identifiable images or recordings.

12. Code of conduct

Participants are expected to behave respectfully toward other attendees, speakers, organizers, and venue staff. Harassment, discrimination, or disruptive behavior may result in removal from the meeting without refund.
